Conscious Events Scotland: Safe(r) Spaces & Privacy Policy

By joining a CES event you agree to uphold the values and guidelines of our Safe(r) Space Agreement. These agreements are designed to create a respectful and welcoming environment where everyone can feel safe to express themselves freely.

We invite you to take full responsibility for your experience, stay open-minded and curious, and honor the boundaries and needs of those around you. Let’s co-create a space rooted in trust, respect, and care for one another.

Our Safe(r) Space Agreements

(1) Take Responsibility

• You are responsible for your own experience, actions, and belongings.
• If you feel unsafe or uncomfortable, please speak with a designated team member right away

(2) Move Mindfully

• Be aware of your surroundings and respect the space of others.
• Allow everyone as much space as they need to feel comfortable.

(3) Consent is Key

• Always ask for consent before interacting with others physically or energetically.
• If it’s not an enthusiastic YES, treat it as a NO.
• Understand that consent is ongoing—someone can change their mind at any time, and this must be respected.

(4) Express and Communicate Clearly

• Feel empowered to express your boundaries, expectations, and needs respectfully and directly.
• Use verbal communication when possible to ensure clarity.

(5) Confidentiality

• Maintain the privacy of others. Do not share anyone’s identity, stories, or experiences outside of this space.

(6) Respect and Inclusion

• Be mindful of differences and remain respectful of all individuals regardless of their background, identity, or experience.
• Approach the space with kindness, compassion, and an open heart.

Privacy Policy

Who we are

Conscious Events Scotland ("we", "us", "our") is a wellness events organiser based in Edinburgh, Scotland. We organise and run events including Ecstatic Dance and other conscious movement and community gatherings.

Our ticketing is managed through the Dandelion platform at dandelion.events/o/ces.

We are the data controller for the personal information you provide when purchasing a ticket or registering interest in our events.

What information we collect

When you purchase or register for a ticket through our Dandelion page, we may collect:

• Your name
• Your email address
• Your phone number (if provided)
• Payment information (processed securely by Dandelion's payment provider; we do not store card details)
• Event attendance history with us
• Any other information you voluntarily provide at the time of booking

Why we collect it and our lawful basis

We collect and use your information for the following purposes, each with a lawful basis under UK GDPR:

To fulfil your booking (Contract) Processing your ticket purchase, sending booking confirmations, and communicating essential event information (such as venue details, schedule changes, or cancellations).

To keep you informed about our events (Legitimate Interests / Consent) If you opt in, we may send you updates about upcoming events, news, and offers from Conscious Events Scotland. You can unsubscribe at any time.

To improve our events and marketing (Legitimate Interests) Understanding who attends our events helps us plan better events and reach more people who would genuinely benefit from them.

To advertise on Meta platforms (Legitimate Interests) We use Meta platforms (Facebook and Instagram) to promote our events. As part of this, we may upload your email address or other contact information to Meta to create Custom Audiences and Lookalike Audiences. This allows us to:

• Show relevant ads to people who have already attended or expressed interest in our events (Custom Audiences)
• Reach new people who share similar characteristics to our existing attendees (Lookalike Audiences)

By purchasing a ticket or registering for an event through our Dandelion page, you acknowledge that your contact information may be used in this way. Meta processes this data in accordance with Meta's Privacy Policy. You can opt out of seeing ads from Custom Audiences via your Meta Ad Preferences.

If you do not wish your data to be used for Meta advertising purposes, you are welcome to use a pseudonym and a ‘hide your email address’ service when purchasing tickets.

Who we share your information with

We do not sell your personal data. We may share it with the following third parties in order to operate our events and marketing:

Dandelion Events (dandelion.events) Our ticketing platform, which processes your booking and payment data on our behalf. Dandelion acts as a data processor under our instruction.

Meta Platforms (Facebook / Instagram) For the purpose of creating Custom Audiences and Lookalike Audiences, as described above. Meta acts as an independent data controller for data processed through their platform.

Payment processors Dandelion uses third-party payment processors to handle transactions securely. We do not receive or store your card details.

We may also disclose your information if required to do so by law or to protect the safety of our attendees.

How long we keep your information

We keep your booking and contact information for up to 3 years after your last interaction with us (ticket purchase, event attendance, or email engagement). After this period, we will delete or anonymise your data unless we are required to retain it for legal or accounting purposes.

You can request deletion of your data at any time (see Your Rights below).

Your rights under UK GDPR

You have the following rights in relation to your personal data:

• Right to access: You can request a copy of the information we hold about you.
• Right to rectification: You can ask us to correct inaccurate or incomplete information.
• Right to erasure: You can ask us to delete your data, subject to any legal obligations we may have.
• Right to restrict processing: You can ask us to limit how we use your data in certain circumstances.
• Right to object: You can object to us using your data for marketing or for processing based on legitimate interests.
• Right to data portability: You can request your data in a portable format.
• Right to withdraw consent: Where we process data based on your consent, you can withdraw it at any time.

Cookies

Our ticketing page is hosted on Dandelion's platform. Dandelion may use cookies and similar technologies to operate the booking system. Please refer to Dandelion's own privacy policy for details on cookies used on their platform.

If you visit any Conscious Events Scotland social media pages or linked websites, those platforms may also use their own cookies.

Changes to this policy

We may update this Privacy Policy from time to time. The most current version will always be available on our Dandelion page.
